6B. Institutional Requests


1 Onsite loan/Loan via mail2 Remote photoduplication3 Reference


Registered institutional users can request the following services via NDL Online: onsite loan, loan via mail, remote photoduplication, and reference. You must login to request these NDL Online services.


6B-1 Onsite loan/Loan via mail

A library must register to the User Registration System for Interlibrary Loan Services in order to borrow library materials from the NDL.

* Individual users cannot make loan requests.


To receive library materials by postal mail, apply for Loan via mail.

To pick them up at the Tokyo Main Library, Kansai-kan, or International Library of Children's Literature, apply for Onsite loan.

Before making a request

・Number of volumes to be lent

No more than 10 materials can be lent at a time, including any unreturned items. This includes materials from all premises of the NDL: the Tokyo Main Library, the Kansai-kan Library, and the International Library of Children's Literature.


・Period of loan

Users must return the borrowed materials to the NDL within one month from the day the material was received.

The deadline cannot be extended.


・Loanable materials

NDL lends out Japanese and western books acquired in or after 1948. Serial periodicals such as newspapers and magazines are not available for loan.

For details on other materials which are unavailable for loan, please refer to Loanable Materials on our website.

As for electronic publications combined with books, we can only lend out the books.


How to make a request

Log onto the NDL Online and go to the Bibliographic Record screen. Select the material you wish to use and click the Onsite loan or Loan via mail button. The material is added to your Cart.

The materials you selected are listed in your Cart. Open your cart and select the materials you wish to borrow, then click the Go to Request Procedure button in the Onsite loan or Loan via mail section.

Enter the necessary information to complete your request.

Name of contact person (1-a)

Input the name of the contact person or the section in charge. Please do not enter the patron's name. (max. 100 characters)

Extension number (1-b)

Input the extension number. (max. 30 characters)

Note (1-c)

Input your message. (max. 1000 characters)
When you are requesting a microfiche item (material with the NDL Call No. starting with YDM or YD5-H), inform us that your institution has a microfiche reader.

On the confirmation screen, review the content of your request and click the Submit This Request button.

The message "(No. of) requests for loan via mail (or onsite loan) have been accepted" is displayed to indicate that your request has been received.


We will send a notification email when the requested material is ready for onsite loan.

You can view your request on the Request Status screen.



6B-2 Remote Photoduplication

You can request photocopies without visiting our library and receive them by postal mail or courier.

Please refer to Remote Photoduplication Services on our website before making a request.


Before making a request

・User information (Required)

Patrons are required to register both a physical address (Contact information) and an email address. This information can be reviewed and revised on the User Information screen.


・Number of requests that may be submitted at once

Each article from a periodical or a portion of a book counts as one request. If you request a series of articles, each article counts as one request.


・Shipping of copies

In general, all requests that are submitted together will be shipped together in a single package. Requests, however, cannot always be processed at a single facility. Thus, requests are shipped to patrons from the faculty at which they were processed.

Also, requests that are submitted separately are shipped separately, even if the submissions were made on the same day.


・Limitations on the number of concurrent requests

Each client of your institution may submit up to 30 requests for remote photoduplication services at a time.

Once you have reached this limit, you may not submit additional requests until after you have received previously requested copies.


・Photoduplication methods

Please refer to Photoduplication Methods on our website. We do not offer enlargements or reductions.


・Digitized materials

Printouts of materials in the NDL Digital Collections are made from the digitized image rather than from the original material.

Materials that have been made available via the Internet may be printed out freely at your own convenience.


How to make a request

・Enter the portion to be copied

Log onto the NDL Online and go to the Bibliographic Record screen. Select the material you wish to copy and click the Remote Photoduplication button to display the input screen shown below.

Input as much information as possible in Article Title, Author, and Volume/pages fields to specify the portion of the article to be copied.

After inputting the information, click the Add to Cart button.

Article title (2-a)

  • Input the full title of the article correctly. (max. 200 characters)
  • Requests that do not include sufficient information to specify the portion to be copied cannot be processed.

Author (2-b)

  • Input the full name of author correctly. (max. 40 characters)

Volume/pages (2-c)

  • To request only a portion of an article, please input the word "only" in front of the portion to be copied. If you do not input the word "only," the entire article will be copied. (max. 40 characters)
  • For bound materials containing more than one volume or issue, be sure to input the number of the volume or issue that contains the portion to be copied. Requests that do not specify the number of the volume or issue cannot be processed.
  • If there is no pagination, enter the title of the article, a description of a photograph or some other details to identify the portion to be copied.

Note (2-d)

  • Special requests may be input in the Note column. (max. 40 characters)
  • Use the Article title field to input additional information.
  • To specify a shipping method or name on the invoice, input the information on the following Remote Request for Photoduplication screen.

Checkbox (2-e)

  • Select the appropriate check box to request copies of cover, table of contents, or colophon pages.
  • Select the Copy Colored Pages in Color check box to have multicolor or full-color printed pages copied in color. Pages are copied in monochrome unless otherwise specified.
    Indicate in the Article Title field if you wish to have two-color printed pages or the background color of a printed page copied in color.
  • If you do not select the check box indicating that you understand that some characters or images might be unclear, the NDL may contact you before processing your request, which could increase the time required.

Enter another portion (2-f)

  • After making one request, click the Enter Another Portion button to specify another portion of the same material to be copied.
 

* When you select Articles as the material type, the title of the article, name of the author, and number of volumes or pages are automatically filled in the appropriate fields. Please check to be sure that the portion you wish to be copied is indicated correctly. This is important, because sometimes the information is truncated when the number of characters exceeds the limit.

* Be sure to enter the number of the volume or issue in the Volume/Pages field, especially when selecting material specified as "一覧に表示されない資料を所蔵しています" or "Digital," which often include periodicals or other materials containing more than one volume or issue. We cannot copy the portion you want unless it is specified clearly.


・Confirm and request

The materials you add are listed in your Cart. Open your Cart and select the materials and click the Go to Request Procedure button in the Remote Photoduplication section.

Click Change button to modify your request.


Click the Go to Request Procedure button to open the input screen shown below.

Fill out the form, read the precautions listed at the bottom of the screen, indicate the Purpose of Photoduplication, and then click the Agree and Confirm button to submit your request.

Requests shipped from: ______ (2-g)

  • Verify the point of shipment for each requested material.
  • In general, all copies are shipped together in a single package with a single shipping ID whenever possible.
  • For a variety of reasons, however, requests for photoduplication services are often fulfilled from more than one facility. Please be aware that your copies could be shipped from the Tokyo Main Library, the Kansai-kan, or the International Library of Children's Literature (ILCL) at our discretion.

Patron name (2-h)

  • Input the patron's full name.

Name of contact person (2-i)

  • Input the name of contact person.

Shipping address (2-j)

  • Displays the address registered in Contact Informaion.
  • The NDL accepts no responsibility for failed deliveries or other problems caused by mistaken input of the registered address.

Email address (2-k)

  • Displays the email address registered in Contact Information.
  • Your registered email address can be changed in the User Information screen.
  • You will be sent a notification by email when your request is processed and when your copies are shipped. You will also be notified by email if we are unable to process your request.

Phone number (2-l)

  • Displays the phone number registered in Contact Information.
  • Your registered phone number can be changed in the User Information screen.

Fax number (2-m)

  • Displays the fax number registered in Contact Information.

Notes on shipment (2-n)

  • You may specify shipping by express mail, EMS, or other requirement on shipment in this field. (max. 40 characters)
  • If you wish to specify a different name for the invoice, enter "Name on the invoice:" followed by the desired name.
  • Select the check box to request an estimated cost and bill of delivery in addition to invoice.

Purpose of photoduplication (2-o)

  • Select this check box to confirm that you have read and agree to the terms of use.
  • Requests via NDL Online are limited to photoduplication for individual research and study.
  • Requests sent by postal mail are accepted only for photoduplication to be used in trials, library collections, or other purposes as specified in the Copyright Law of Japan.
 

When the Confirm Request screen is displayed, review the content of your request and click the Submit this Request button.

The message "(No. of) requests for remote photoduplication have been accepted" is displayed to indicate that your requests has been received.


How to cancel a request

A request can only be cancelled while its status is shown as "Specifying the portion to be copied" or "Holding".

Click the All Requests button in the upper right corner of the screen to display the Request Status screen and then click the Details button in the Remote Photoduplication section.

To cancel a request, click the Cancel this Request button associated with the request you wish to cancel.



6B-3 Reference

Reference services are available to libraries and other institutions.

For more information on reference services, please refer to the "Reference and the Information Desk" or "Handbook for Library Support" sections of the NDL website.


Before making a request

・User Information

A notification is sent to your registered email address whenever we reply to your request. Your registered email address can be changed in the User Information screen.


・Limitations on the number of concurrent requests

Reference requests for libraries and other institutions are limited to ten requests at a time. Once you have reached your limit, you may only make additional requests after you receive previously requested responses.


・Time to response

In general, we respond to most requests within two weeks from the date of the request. More time is sometimes needed, depending on the content of the request.


How to make a request

In your Cart, click the Go to Request Procedure button to display the input dialog shown below.

After entering the necessary information in each field and reading the terms and conditions, click the Agree and Confirm button.

Title (3-a)
  • Indicates the content displayed in the Request Status screen.
  • Please provide only the information necessary to identify the desired content easily. (Up to 1000 characters)
Question (3-b)
  • Please describe your question in as much detail as possible. (Up to 3000 characters)
  • Please provide any and all information that you consider useful to our investigation.
  • If you are looking for a specific material or article, please provide the source of your information or indicate clearly that you have no source.
  • If your question is about materials from a collection held by the NDL, please be sure to include the relevant NDL call numbers.
  • We delete all personal information when we publish a question in the Collaborative Reference Database. If there are any parts of you request that you prefer not be published in the Collaborative Reference Database, be sure to specify them clearly.
Resources already consulted (3-c)
  • Please provide specific descriptions of materials on the Internet or elsewhere that you have already surveyed yourself. (Up to 1000 characters)
  • Please provide any and all information that you consider useful to our investigation.
Name of contact person (3-d)
  • Please enter contact information for the PIC at your organization. (Up to 100 characters)
  • We might contact you to confirm our understanding of your questions.
Purpose (3-e)
  • Please indicate the purpose of the request.
    You may select more than one item.
Attachment (3-f)
  • You may attach files containing citations and reference materials.
    Click the Attach File button and select the file.
 

Click the Confirm button to display the confirmation screen, as shown. After reviewing the content of your request, click the Submit This Request button.

The message "One reference request has been accepted" is displayed when your request is accepted.


How to cancel or to modify a request

A reference request can only be cancelled or modified while its status is shown as "Received."

You can review the status of your requests by clicking the All Requests button in the upper right corner to display the Request Status screen.

Click the Details button displayed on the right of the reference title.


・Click the Cancel This Request button to cancel a reference request.

 Click the OK button after the "Are you sure you want to cancel this request?" dialog is displayed.


・Click the Edit This Request button to modify a reference request.

 After modifying the reference request, click the Agree and Confirm Request button.

 Click the Confirm button when the confirmation dialog appears.

A notification either that your request has been completed or that we are unable to complete your request will be sent to your registered email address.

Click the link in the email and log in to the NDL Online and view the response to your request. Click the Details button on the Request Status screen.


Questions about the response

If there is any part of our response that you find unclear, please ask additional questions.

Click the Details button on the Request Status screen to display the Details of the Reference Request.

Input your questions (up to 500 characters) in the Comment field at the bottom of the dialog and click the Send Message button.

Our response to your questions will be displayed on this same screen.
